PACS Conference Rooms

Reservations Policy

Please use the Outlook conference room calendars to check availability and submit a reservation request. The PACS conference rooms are Chilton 126, Chilton 136D, Chilton 209A, Chilton 220, and Chilton 363.

Every PACS conference room calendar is maintained in real time and available for viewing by all PACS faculty and staff. There is one calendar for each conference room. In case of reservation dispute, the conference room calendar is always correct.

Meeting requests will be accepted or declined in accordance with the PACS Space Policy, effective September 1, 2007. Requests must be approved in advance and will be confirmed within 24 hours during the normal business week.

Cancellations should be submitted and new meeting times proposed using the Outlook calendar menu options. Confirmation of your change will be sent to you via e-mail.

A meeting reservation is tentative until an Accepted or Declined e-mail is generated by the PACS Computing Center on behalf of the room. Tentative reservations appear on the calendar with a striped bar on the left side of the reservation time block. If you do not receive an e-mail confirmation, or need assistance with accessing the calendars, please contact the PACS Computing Center operations manager at 940.565.3419.

Follow these steps to share the PACS conference room calendars and to submit meeting requests.

-> Open your calendar
-> click on Open a Shared Calendar (left navigation pane)
-> Click on the Name button to open the address book
-> In the search bar, type Chilton

You should see a list of all Chilton rooms. Select the Chilton conference room you want to view.

->Click OK

This should open the Chilton conference room calendar and place the room calendar permanently in your left navigation pane.

->Go to the date and time you wish to reserve and check the room's availability. If you are requesting a recurring meeting time, all recurring dates and times requested must be available. 

->Right click on the start time, and select New Meeting Request With.

>Complete the request form, including:

->To: < Room. This field will populate automatically when you select the Location field below >

->Subject: < Department and Course Number and/or Meeting Title >

->Location: < Select Location from the Rooms pull-down menu >

->Select Start time: and End time:

->Provide additional information in message section, such as a phone number where you can be reached during business hours.

->Press Send.

Reservations submitted with any conflict will be declined.
